Reason for upgrading IT System at GGSK College
GGSK College need to upgrade its IT system as technology moves on fast and the college needs to move forward as currently they school is relying on paper, pen and Microsoft office, to stay in line with the latest technology the school will need to look for newer software which helps students from the age of 3 to 19 in education. Students need to be able to access latest applications and need a reliable set up to use at school. If GGSKC invested in newer IT Systems it will be benefit both the student and teacher. With our generation technology has been built into our daily life and compacting learning and technology will help students learn in way they all would understand. The main upgrade would be within the external hardware side as learning can then be spread out widely by having different methods of teaching such as teachers can use interaction and new applications to teach the syllabus to the students. This will allow access for the student to be given more ways of learning in school as upgrading the IT system even means bringing in more external hardware such as white boards which will expand the way they are taught. Not only will it benefit the students but also reduce cost for maintenance. Also regulation in school will be set at a higher standard with modern systems as they may have a higher safety standard.
What is software and hardware?
What is Software?
Software contains a collection of computer data which is broken down into system software and application software.
System software contains the flies and programs which run your computers operating system, it can be installed on your computer when installing an operating system such as windows or mac os x
Application software runs off your computer and controls each specific application separately.
What is Hardware?
Hardware is the physical state of a computer and is broken down into internal hardware and external hardware.
Internal hardware includes internal components such as motherboard, hard drive, CPU and RAM.
External hardware includes external parts including monitor, keyboard, mouse, printer, external hard drive and scanner.
Hardware Increase power
Random Access Memory
What is RAM?
RAM is the main memory as it holds the data of the operating system and releases short term data as the processor is built for that reason.
Upgrading the RAM will make the schools IT Systems work much faster and easier to work with. Currently the newer operating systems recommend having high RAM storage but GGSKC are using a smaller storage and the RAM cannot deal with a very sophisticated operating system so the RAM will work at full capacity and problems will start as boot up will take time and also when using the system it will take a long period of time to respond to instructions. RAM upgrade will be a vital move by the school as it will improve the performance of the systems in the school.
Increasing capacity
Hard Drive
What is a hard drive?
Hard drives can work on a optic disk or with a magnet which is used to write data on the drive, this data is saved on the internal hard drive and can be controlled by the user.
Upgrading the hard drive will allow more third party apps to be downloaded and also will benefit the students and teachers as they can save work on the system as the space on the hard drive is available, this makes it simple to work with data which is kept on the computer. Currently the newer operating systems take up a lot of space when fully updated and that’s the problem with GGSKCs hard drive as after major updates there is hardly anything left on the drive. There is many types of hard drive the most popular one which is a new type of hard drive is SSD which makes the hard drive a lot more reliable then the HDD. SSD allow for faster transfer times and less corrupt data I believe this would be a good upgrade plan for GGSKC.
Increasing sophistication of communication technology
Central Processing Unit
What is central processing unit?
Central processing unit is the processor of the computer which breaks down and processes it before it changes into an output.
Upgrading the CPU will speed up the desktop significantly as the processer will be doing more work. Having a better CPU will allow students and teacher to open applications and save work quicker allowing it to have better efficiency and also will help using newer technology as more powerful technology can be used when the new CPU is placed.
Sound card
What is a sound card?
Sound cards also known as audio card, is an internal card that provides input and output of audio signals to and from a computer under control of computer programs
Upgrading the sound cards will allow students to benefit from it as having a high specification sound card will give them a good platform for gaming. Many schools do not offer gaming so GGSKC will be ahead of competition. Having upgraded the sound card it will allow to system to use Bluetooth/ wireless connections as newer technology will be compatible.
Increasing sophistication and integration of security software
Security software
Security is already on most of GGSKCs system as windows defender is present with all models of windows regardless if having other security or not. GGSKC can improve their security of their software by checking for regular updates as some security is compromised with some software, this tends to be based on programmes requiring you to be online. Windows defender does the bare minimum so does not cover some third party software’s. Third party companies which you can purchase normally does check the software in the system to see if a bug is planted or is not safe to use. This will stop files and data from GGSKCs system from being looked at or stolen.
Increasing sophistication and integration of application software
Application software
There is many suitable software’s out there for GGSKC to invest in. There is many application software’s which can be useful for students and teachers in school, many specific subjects like computer science requires specific application software’s which do not come as a default on the school computers, upgrading the software will allow the latest applications on the software to be downloaded. `Media requires voice notes and video editing applications, the software will help students learn the subject to a higher standard also it will make it easier for teachers to teach with additional relevant application software’s. Upgrading GGSKCs IT system will let the school have more doors open as they can download quality applications and also offer more to the students of the school.
Increasing sophistication and integration of management information system
Management information system
Management information systems is what controls the activity of the system of the school. The main purpose of management information system will be for GGSKC to store files in the database this could be anything from students work files to the filing from the school reception. Updating the IT system at GGSKC will give a bigger amount of access for the MIS software which will mean the data saved to the database will be larger and be safer as the chances of corrupt data or loss of data will reduce.
(M1) Examine why GGSK College needs to keep pace with IT development
Changing regulatory and legal frameworks
Changing the regulatory and legal framework means changing the laws and legislation related to IT system.
Laws change frequently meaning that the IT system will need a updated to regulate with the law. For example, if the law does change due to a new virus which has been going around that will mean an update will be necessary to comply with the computer misuse act 1990, this will be covered by updating the ant-virus software at GGSK College to avoid the virus spreading and to reduce the chances of the same virus coming back.
Data protection act 1984,1998,2000 will be active when data is in the hands of others or is damaged. This could be because of having a virus on the computer or students work being open for other students to see. Having client servers can be a safer route as it is a protection from anyone else seeing private accounts which will result in less incidents where work is opened or taken by an induvial. Having an old system or older software of anti-virus will increase the chances of data being stolen or corrupt.
What will be the benefits of upgrading GGSK Colleges IT System?
Having a new IT System will help everyone around the school and adapt to the needs of the student, a newer system is more efficient and meets newer safety standards. The newer system will help students use the system as they would know how to use it as it is something they are used to using. Once right amount of training for the course is done it makes it easier for the teacher to then go and teach the class with more affective resources and would help students learn at a better standard which will benefit the school as grades will go up and students will then prefer the new style of teaching. Newer system need less maintenance as parts will not be needing replacing anytime soon and also will encounter less problems.
(P2) Impact of IT developments at GGSK College
What will be the impacts of upgrading GGSK Colleges IT System?
Having a new IT System will cost a lot of money and will need constant checks as later computers may have manufacture problems causing the school to send parts back due to manufacture call backs. Having an old system which works will mean it may be behind in technology but will work efficiently. The staff may have difficulties with working with the software as it may be a big step forward and may struggle to use it causing obdurate delays in lesson and will put pressure on the teacher. Staff will need training for the courses and will take up a lot of time and will cost the school money for teachers to get trained on new technology. Also the student and teachers may not be aware of using the system and may download viruses. The cost for repairs of a newer system will cost more than older systems so will cost more if problems do occur with the new system. The school will have to keep up to date with the rules and regulation as a procedure to keep up the quality once improving the IT system.
