Group contract / Code of conduct
Group contract / Code of conduct: This document is a template that will help you to work with your team members. We suggest you add add it to your Definition of Done or Definition of Fun on the SCRUM board. You may adapt (or discard entirely) this group contract template. However, your coach will expect you to efficiently organize group work. This includes conflict management, which is extensively discussed under article 26-33. We strongly recommend you at the very least look at these articles.
As a multicultural team, the code of conduct is based on an open minded environment in which each of the team members should feel encouraged to share their ideas, opinions, and constructive feedback. In addition, the following code adapts to the cultural backgrounds, respecting the needs and the skills of the students, thereby contributing to a successful learning environment and team building.
Creating a successful working environment
1. Responsibility: Not only for your own learning process, but also for your team members, so everyone can rely on each other. In addition, being prepared for meetings, delivering on time according to deadlines, being ready to work and with high motivation.
2. Respect: Treat each other as you would like to be treated, respecting each other’s cultural differences, including: religion, ethnicity, and political views. Acceptance and appreciation of diversity will reflect the integrity of the member.
3. Tolerance: Act with kindness and with an open mind. We are working in an international environment with team members from different nationalities and therefore some friction is to be expected; however by being tolerant these problems can be solved.
4. Transparency: If a team member needs help due to difficulties in dealing with the assignments or personal problems, being honest is the right approach. This will also increase the trust between the team members.
5. Decision making: Decision making power is based on each member’s skills. Input is valued on the expertise of each member. This ensures that the delivery of work will be at its best, since working with what you know leads to better results, and achieves the goal of earning a high grade for the team.
6. Feedback: Giving credit where it’s due in order to motivate or improve the team’s work. It would also create room for an open exchange of ideas and a creative environment.
7. Be true to yourself: Differences can disrupt the harmonious atmosphere; however, they can also help us strengthen the team’s ability to be prepared for unforeseen circumstances. Being true to yourself will help to connect and bond with the rest of the members.
General guidelines on group dynamics and individual roles
8. Team building: Increasing the effectiveness is one of the most essential and integral processes in team building. Giving constructive feedback is the key to success as it gives us the possibility to change. Group members will observe group process norms. To maintain a good relationship in the group some social activities may need to be organized. We have a vision of how our perfect team will look like, and we are going to do our best to achieve this, for example by sharing our previous best experiences with previous teams. Our core values are: equality, openness, progress and change for the best, by adhering to these values we will achieve our goals and we will become a successful team.
9. Leadership: The team process contains different components, and one of them is leadership. As different cultures perceive leadership in different ways it affects the team members and the process itself. Our group has both people from Low (individualistic) and High (collectivistic) context cultures. We see leadership as shared and distributed. Every team member encourages the others to participate. To prevent any further difficulties and misunderstandings, the team tries to divide tasks fairly by discussing everything with each other and coming to a consensus.
10. Decision making/ Problem solving: During every team process problems can occur, and every member of the group can interpret and understand these problems differently. To solve problems, the team will have problem solving sessions right after issues are detected. In the sessions, we will discuss the problem and look for different solutions. The chosen solution will be decided upon through a vote. Our team members have diverse perspectives and it can be very helpful as they will have a great range of ideas and alternatives that will help us in problem solving and decision making.
11. Dealing with conflicts: In order to have good conflict resolution the team needs to be culturally sensitive and try to find the best way to deal with problems according to group members. One of the most successful ways in our team is negotiation. To resolve conflicts, we use soft negotiations, as we are not focused on winning, but on the mutual understanding of the conflict and verifying the main issues and interest for each party.
12. Group meetings: To work on tasks our group schedules meetings with each other. Meetings serve multiple purposes: they are a time to exchange information and deciding on the outcomes, as well as a time to build up relationship between each other in order to accomplish the task. Our group tries to find the middle ground between these goals. Part of achieving this is to make an agenda, doing pre-discussion and having a facilitator.
13. Penalty system: According to our team contract there are a set of rules that every team member needs to follow. Failure to do so will have consequences (largely discussed under the heading ‘conflict management’).
Team goals:
The team has established certain goals in order to be efficient and competent. The goals are:
14. Each team member should deliver the task within their responsibility according to the standards and expectations of the coaches.
15. Each assignment should be produced on time for the deadline set for that assignment.
16. Each team member should deliver work that is efficient, competent and of high quality.
17. The coaches should be satisfied with the final result.
18. The members of the group are disposed to receive the highest grade possible based on their forecasts on the work quality and professionalism.
Roles, goals and responsibilities for a specific course, including names of group members
19. The roles within the team have been divided according to the strengths and weaknesses of each team member. This selection of roles has been made in order for the team members to be able to work effectively and to enable the team to deliver successful results. With each role within our team comes a certain responsibility. Therefore, the importance of dividing the roles according to the familiarity and goals of each team member is high. In the work process each group member has to be involved, pro-active. The division of the tasks will be based on the equality and skills of each member. Moreover, taking into account the assignment criteria, each member will have to work individually and later on as a whole group to share, compare or/and combine relevant findings or particular information.
20. Due to the fact that [NAME] has a sense of responsibility and organization, he/she has been selected to be the SCRUM master for the project of this team. Thus, his/her responsibility lies with [e.g. THE PROJECT PLAN, THE FINAL PRESENTATION FOR THE CLIENT, THE FACILITATION REPORT, ORGANIZING MEETINGS AND DEADLINES, COORDINATION OF PLANNING AND EXECUTION OF TASKS, TO COORDINATE ACTIVITIES WITH THE OTHER TEAMS AND TO MAINTAIN CONTACT WITH THE COACH.]
21. [NAME] has been chosen to support and if necessary, replace the SCRUM master. This is due to the fact that he/she is analytical, well organized [AND…]. His/Her responsibilities within this project are to (e.g. HELP THE SCRUM MASTER AND TO FILL IN FOR THE SCRUM MASTER IN CASE OF ABSENCE, AND TO ENSURE THAT NOTES OF THE MEETINGS ARE MADE AND SENT THROUGH EMAIL OR UPLOADED ON BLACKBOARD/FACEBOOK WHEN NECESSARY.]
22. As a result of this, [NAME, NAME & NAME] assume their role as regular team members. However, each team member also has the responsibility of coordinating and producing assignment(s). The division of assignments among each team member including the team leader and assistant team leader is visible in the timetable/ on the scrum board.
23. Scheduled meetings will be attended by all group members in [ONE OF THE ROOMS/CLASSES AT HANZE UNIVERSITY OF APPLIED SCIENCES]. Furthermore, the group will have both coach meetings and individual meetings. Individual meetings will take place at least once a week, on [DAY] and if necessary an extra group meeting will be scheduled. Each group member will have prepared beforehand.
24. Online interaction between group members: As a project team, group members will communicate within the group during individual and coach meetings and also have communication on [SOCIAL MEDIA GROUP]. In this group ideas and suggestions related to the group work can be posted and discussed. It is required that each group member shows interest and that each group member is active in our social media group.
25. Main responsibilities for all group members:
25.1 Each group member is expected to be active, be involved in group discussions and have an encouraging attitude;
25.2 The attendance to individual and coach meetings will be compulsory; as a result, everyone should be present and punctual (manage the time appropriately);
25.3 There will be a non-judgmental attitude towards each member’s ideas, viewpoints or thoughts, which will be brought during the meetings or in social network;
25.4 Each week, all members of a team will be working on a particular part of the assignment, where they will be responsible for his/her own task delivery, quality and time management;
25.5 The completed tasks will be posted in/on [ONLINE SOCIAL MEDIA GROUP] which other group members will be able to view and comment on. The deadline to upload individual work is every week on [DAY].
25.6 Overall, each member is required to bring qualitative and professional output. Also each member encourages good communication and atmosphere within the group through: being open-minded; honesty; striving towards accomplishment of the goal; and aiming for task achievements and problem solving;
Conflict management:
26. All members should be present during individual and coach meetings. Nevertheless, there can be unpredictable circumstances that attendance cannot be possible, where an absent person therefore is expected to inform at least one group member about the problem or difficulties which came up suddenly.
27. Based on unpredicted circumstances and to therefore avoid conflict between members, given tasks should always be uploaded via the social media group and incomplete or substandard work will not be accepted.
28. The decisions will be made by majority vote after having listened to all viewpoints and opinions about the precise problem, findings or/and task, where all group members will participate.
29. If a conflict appears between group members or within the team overall, measures will be put into place in a democratic way. Measures aim for prevention of a conflict in a mature manner, where all viewpoints will be listened to and taken into account from both sides. If the group is not able to come up with consensus, the project coach will be invited in the discussion to solve the current conflict.
30. It is the express responsibility of each team member to take action when they notice that another team member does not follow the contract / code of conduct. This action consists of a) informing the other team member about his (perceived) noncompliance and b) informing the team leader about this as well. The team leader should always discuss this with the noncompliant team member.
31. If a team member does not follow the group contract/code of conduct TWO TIMES, a feedback session will be organized by the team leader. It is expected that a team member will change their behavior according to received feedback. This is in order for the team to work efficient, rather than inefficient when a team member has to leave the team. Examples of non-compliant behavior include: a team member seems to have trouble with being present or is frequently late; overall bad/rude behavior; failure to show up during (coach) meetings; failure to meet deadlines as put in the time schedule; failure to deliver upon individual tasks according to group standards (this includes not properly revising assignments after coach feedback was provided).
32. If a team member does not improve his/her attitude/output immediately after being informed in the constructive feedback session to improve, the team has the option of a special meeting with the coach. This is in order to inform the member that his/her work is not parallel with the team’s goals. This session may end in expulsion from the group.
33. A coach meeting as described in article 32 is not obligatory. Members can be put out of the group without coach intervention after [NUMBER (suggested number is 1)] warnings immediately after lack of improvement after the first feedback session, no matter the week of the course. Expulsion from the group may make it impossible to finish class assignments and will likely result in a re-sit for the expulsed student.
Grading
34. As a group, we decided that the best for all of us was to do all assignments together and receive the same grade. Therefore, we would like to have a group grade for all group work.
By participating in this course, all group members state that they have read the group contract, adapted it according to group requirements and will adhere to it.

2.6. Action plan & budget
There is no budget and cost needed for this project. The client in the intake interview also didn’t mention about this matter in specific.
Now draw up a detailed action plan outlining things that matter to the client. Not all details discussed in the seminar or written down in documents matter to your client. (Blackboard).
Focus on the products you are expected to deliver and on the tasks and actions required to deliver those products.
<< Draw up a table outlining the provisional research schedule. Include information on who will do what and how and when, and in what quantity. >>
If you expect to incur any costs, be sure to include these in your table! These are the costs you, being the communications agency, will incur while undertaking activities that are part of the project. Since the client will actually have to pay these expenses, they will want to have an idea beforehand of how much they will be spending.
