Human Resource Management (HRM) was referred to by most companies as involving people practices, for it refers to the policies, practices, and systems that influence employee’s behavior, attitude, performance, and professionalism. All HR practices require effective communication processes and strategies necessary in contributing to the performance of the company. The practices that are included in the Human Resource Management (HRM) are creating a blueprint and analyzing job positions, determining the needs within the Human Resource department (HR Planning), also HR are responsible for engaging and selecting candidates for an available job position (recruitment and selection), educating employees regarding their job description in order to improve their performance and turn them on becoming the company’s asset (training and development, providing reward strategies that will maintain the competitiveness, quality of work, and increase both extrinsic and intrinsic motivation of all the employees (compensation), evaluating the performance of the employee to measure its relevance and appropriateness to the company operations (performance management), and promoting a harmonious, positive, and healthy work relationship and safe work environment (employee relations).
One of the major concerns in the business world is effective business operation for it establishes and maintains a positive work environment (Kashyap, 2019). One great business element that diagrams the process o/f communication within the company is the organizational structure. It is the system that tackles how tasks are about to be allocated, reporting patterns and processes, which employee has the authority, and it illustrates the coordinating mechanisms and interaction patterns to ensure that the work is being done in accordance to the objective of the company. Organizational structure also creates order by arranging various parts of the organization, the workflows, the reporting relationships, and the communication channels. It promotes coordination of activities and performance results to achieve the organization’s strategies and goals.
Inadequacy of workplace communication and vague communication process obviously hinders the smooth work operation and disrupts employees’ performance and motivation where the company will be the one who will suffer most (Krause, 2019). Companies with inadequate constructive interaction have basically no defined communication strategies. That negatively leads to misunderstanding, a dissonant work environment, unmotivated employees, a major upheaval in business production, and deflation in profit. Miscommunication within the work environment may be rooted in the form of leadership and an established business culture. Managers that have poor leadership, and communication skills will be less likely to be effective in leading his/her team by providing clear instruction, feedback, and reinforcement resulting in unclear job delegation and responsibilities. It will also provide difficulty for the employees to work collaboratively successfully. A business culture that has poor and ineffective communication creates a breeding ground of distrust and confusion, frustrated employees. Egregious lines of communication between employees and management will impair the relationship between the two, which may result in treachery and a higher turnover rate. The presence of lack of trust within the company reflects an incoherent and cramped business culture.
Business entities are also forced to adjust their business operation to respond to the challenges brought by the coronavirus. Remote work has become the best option for the business to continue their operation; it is the concept of employees setting up their home offices and communicating the information online. Naturally, the corporate world encounters difficulties when there’s a lack of collaboration and interaction with useless technological equipment that does not serve their needs. (Vu, 2020).
Organizations use email to telemarket, third-party functions for video conferencing such as social media platforms to communicate with their customers. It could be done in various forms such as verbal, typewritten, teleconference, voicemails, and handwritten notes. These communication processes have varying impacts than the traditional physical meeting. that is now being considered as one of the organization’s guidelines, principles, and training for they are long-lasting, recorded and hassle-free to recover. This communication process is now being posed to be legal, regulatory, and compliance risks if proper precautions are not executed even beyond the pandemic. (Whittlesey, 2020).
The challenges for responsible communication during this pandemic are currently evolving. Consistent monitoring of the marketplace and shift to the demand and supply trends is recommendable. Despite those figured possible threats to the communication process, there are opportunities that business strategies are considering to implement best communication practices and these are: encouraging employees to ask questions and share insights, and maintaining open lines of communication with them. It is believed to be helpful for the organization to communicate effectively and responsibly, not only during this time of pandemic but also in normal times.
